Management
The website, including all content, photos and user information, is managed by the Green Oaks Webmaster, appointed by the Green Oaks HOA Board of Directors.
Levels of Access
There are four levels of access to the Green Oaks website:
Admin-Full access to content and user profiles in order to manage the website. Admin status is granted only to the webmaster and website developer (appointed by the HOA) for the term of their position.
Public- General information about our neighborhood, available to all visitors.
Member- Specific information relevant to residents, available only to approved residents who have successfully registered on our website.
Limited- Explicit information provided to certain non-residents (only after they register and are approved by the webmaster) including:

- Realtors: access to HOA Documents only (required for home sale transactions) Tennis Pro: access to tennis court reservations only

- Others – to be determined by webmaster, with approval by HOA
Registration
All Green Oaks Homeowners will be encouraged to register on the website. Their completed profile form will be submitted online to the Green Oaks webmaster, who will verify their residential status. Once approved, residents will be granted access to the Members section of the website, which is not accessible to the general public. Non-residents will be denied access to the secure Member area, unless pre-approved by the HOA Board and Webmaster.
Renters- Residents signing a lease for 1 year plus, can register for the Green Oaks website. When a request for access is received (and the name is not in the directory or has not been received from the Board treasurer who handles transfers), the webmaster will email that person (their email comes in the request) and ask if they are a new homeowner or renter. The following message will be sent:
Thank you for your interest in the Green Oaks Website. To protect residents private information we must verify residency. If you are a new homeowner, it appears the webmaster has not received your information to date. Please send an email to the webmaster at info@greenoakshoa.org stating you are a new homeowner. The webmaster will verify the sale and complete your request for access.
If you are renting a Green Oaks property, please have the homeowner send an email to the webmaster at info@greenoakshoa.org verifying occupancy names and dates. Once this information is received, your access will be approved for the term of the lease.
Information on the Home Page is available to the public, so extra precaution will be taken to ensure that no resident information is accessible in the two information boxes (“Headlines” and “Happenings” located on the homepage). In general:

Members – reads the one-line title, then clicks “Read More” to enter the password-protected Member portion of the website to access the full body of the news article or event information.

Photos
There are several types of photos used throughout the Green Oaks HOA website. The Webmaster will work with the Photo Editor, who will be given Administrator access to curate the photos on the website.
Photo Release: Each member who registers on the website must accept or decline the Photo Release at the bottom of the registration page, which says By clicking "yes", I give Green Oaks HOA permission to use my likeness and that of my family members on the greenoakshoa.org website.
